– Full access is available for 1 (one) exhibitor representative to attend the Forum, coffee breaks and lunches.

Exhibition place:
– 1.5 x 2-meter area in the foyer adjacent to the main meeting hall
– An opportunity to display one roll-up or pop-up banner (not wider that 2 meters) and promotional materials
– Desk with 2 chairs and access to 220V electric socket
Corporate presentation:
– Listing of the presenter’s profile on the website and printed agenda.
– 15-minute presentation at the Forum. The time and session will be allocated closer to the event.

Advertising

What’s included:

On-screen demonstration of a video clip (up to 3 minutes) in the conference halls between the sessions of the MINEX forum.

Promotional
inserts

What’s included:

A possibility of placing promotional products (souvenirs, printed materials) in the delegate bags.
Note: Inserts must be produced and delivered by the advertiser.

Payment  

The fees can be paid by debit or credit card (via Stripe) or Bank Transfer. 

Participants must remit payment for the event as outlined in the invoice or booking form. Payment in full is due to the organizers no later than 48 hours before the event commences. Failure to pay may result in the organisers denying participation. 

Space allocation  

Exhibitor place allocation is managed on a first-come, first-served basis after booking confirmation. 

As the exhibition is held in a hotel, exhibitors are provided with a limited space for a mobile banner and the desk for displaying promotional materials. Extra space might be offered at an additional fee.

Logistics and Set-up 

Setting up 

Exhibitors will be able to set-up at the venue between 18:00 and 20:00 on 27 October or between 08:00 and 09:00 on 28 October.  

Dismantling  

29 October from 17:30 until 19:00. Please contact the venue regarding temporary storage arrangements.  

Exhibitors are responsible for printing, delivering, and setting up their displays in the designated area. 

Contact and delivery details will be provided to all exhibitors 5-7 working days prior to the Forum. 

Exhibitor Terms & Conditions

Registration:

Confirmation of the booking and invoice will be sent within 2 working days to the email address used in the booking form. Please check your spam inbox for an automatic reply. Please contact admin@minexforum.com if you have not received confirmation within the stated period. 

Acceptance:

By participating in MINEX Forum events, participants agree to these terms and conditions. 

Fees:

Exhibitors must remit payment for the event as outlined in the invoice. Payment in full is due to the organisers no later than 48 hours before the event commences. Failure to pay may result in the organisers denying participation. 

Pricing:

The prices and terms are accurate as of the time of announcement. MINEX Forum retains the prerogative to modify prices without prior consent, though such changes will not impact registrations or confirmations already processed by MINEX Forum. 

Discounts:

Exhibitors are offered an exclusive opportunity to purchase additional tickets for the exhibitor representatives with 50% discount. Discounts are granted solely at the time of registration and are not cumulative. Exhibitor discount cannot be transferred to other participants without receiving prior consent from the organisers.  

Admission:

Organisers reserve the right to refuse entry to participants who have failed to register and / or pay the fee prior to the Forum. 

Replacement and cancellation:

Participant substitution can be made at any time. All cancellations submitted in writing to admin@minexforum.com 10 calendar days before the event will be subject to up to 30% administration fee. No refunds will be made if cancellations are submitted less than 10 calendar days before the event. At the discretion of the organisers, a credit note can be issued in case of cancellation received less than 10 calendar days before the event. 

Transfer of Registration:

Registrations are personal and non-transferable without the prior written consent of the event organisers. MINEX Forum may deny or exclude any individual from the event at its sole discretion, particularly if they do not adhere to these terms or pose a security risk or disruption. 

Event Modifications and Cancellations:

The organisers may alter the event’s format, speakers, content, or location. Should the event date change or be cancelled by the organisers, participants will be offered an alternative event or a refund of the paid fee. 

Force Majeure:

In cases of force majeure, the organizers reserve the right to change the event’s location or date, applying fees to the rescheduled event without the possibility of objection or compensation claims. MINEX Forum is not liable for any loss, delay, or damage resulting from or related to the event’s cancellation or date change, to the fullest extent permitted by law. 

Liability Limitation:

To the fullest extent permitted by law, MINEX Forum disclaims: 

(a) any liability for loss, injury, or damage to persons or property at the event. 

(b) all indemnities, warranties, representations, terms, and conditions (express or implied); and (c) any liability for direct or indirect losses, including but not limited to lost profits, anticipated savings, business revenue, opportunities, goodwill, or other types of losses. MINEX Forum’s total liability to you in connection with the event is limited to the fees you have paid. 

Jurisdiction:

These terms are governed by English law, and disputes will be resolved under its jurisdiction. Only you and Advantix Ltd (legal owner of the MINEX Forum trademark) have the right to enforce these terms, subject to prior written consent, as per the Contracts (Rights of Third Parties) Act 1999. 

Recording Prohibition:

Unauthorised photography, recording, or transmission of any event material is strictly forbidden. 

Privacy:

Your personal information will be stored in a database. For details on how MINEX Forum uses your information, refer to our Privacy Policy.
